Team
Team functionality is divided into two pages, “Users” and “Roles Settings.”
Users
The Users page provides an overview of your team members and their roles within TrustCloud.
Key Features:
- Displays the name of your TrustCloud program for reference.
- Lists all TrustCloud platform administrators, showing who has administrative access and management responsibilities.
Use this page to review and manage user access within your TrustCloud environment.
To view details your users (admins and contributors),
- Go to your TrustCloud program.
- Click on the left-hand side menu and click on “Platform Administration.”
- Select “Team.”
- On the “Team Details” page, you can view each admin and contributor along with their email address, role and timestamp for “Last Active.”
- You can also view the list of active users, invited users, and disabled users with the help of tabs on top of the “Admins and Contributors” section.
The following screenshot shows the “Team Details” page.
- You can view, edit, end sessions, and disable or remove users from your TrustCloud program by clicking on the three-dot menu in front of the user.
The following screenshot shows the action you can take for a user. - You can search for a particular member or sort the list by role.
The following screenshot shows how to sort users by their roles.
To add a new member to your team,
- On the “Team Details” page, click on the “Add Member” button.
- Enter the email address of the new team member and click on the “Proceed” button.
- Check the details and click on the “Roles and Access” button.
The following screenshot shows how you can select a role for the new member.
- The “Roles and Access” page will provide you with the current access rights for each of the TrustCloud services. You can select the role from the drop-down menu as a Compliance Admin, Compliance Team Member, Risk Admin, Risk Owner or TrustShare Admin.
- After selecting the role, Permissions and access details for this role are displayed. Click on the “Review” button.
- Review the details to see if they are correct, or you can edit the details and click on the “Invite Member” button.
- An email invitation is sent to the new member to join the TrustCloud program.The following screenshot shows a sample of an email invitation received by the new member.
- The new member will be added to the “Invited” list of Admins and Contributors on the “Team Details” page.
- Once the new member accepts the invitation and logs-in to TrustCloud, he/she will be guided to use the program and will be added to the “Active” list of Admins and Contributors on the “Team Details” page.
Roles settings
The “Roles Settings” page outlines the permissions and access details for every individual role, ensuring clarity and control over who can do what. This page simplifies the view, making sure that users have the appropriate level of access to perform their duties efficiently. You can also create custom roles based on the requirements.
The following screenshot shows the different roles available in TrustCloud and their access rights with respect to the services.
To view details of each of the roles,
- Go to your TrustCloud program.
- Click on the left-hand side menu and click on “Platform Administration.”
- Select “Team.”
- On the “Team Details” page, click on the “Roles Settings” from the left-hand side menu.
- Click on the three-dots menu and select “View Details.”
- You can view the permissions and access details for the selected role with respect to managing and viewing rights.
To create a custom role,
Being an administrator, you can request a custom role based on request or requirement.
- Go to your TrustCloud program.
- Click on the left-hand side menu and click on “Platform Administration.”
- Select “Team.”
- On the “Team Details” page, click on the “Roles Settings” from the left-hand side menu.
- Click on the “Request Custom Role” button.
- Enter a new user role, select a service such as TrustCloud, TrustOps, TrustShare, TrustLens, TrustRegister, etc., and a role description to provide a brief summary of the set of permissions required for this role and who would be assigned this role; select the number of users who would be assigned this role and click on the “Send Request” button.
